Applicant Privacy Notice

We provide this notice to job applicants who reside in California, as required by the California Consumer Privacy Act (CCPA), and to all applicants as a description of our privacy practices in hiring.

 

What We Collect

When you apply for a job with us, we collect the information you provide in your application, which may include:

  • Identifiers and contact information — your name, email address, phone number, and mailing address
  • Professional and employment information — your resume, work history, current and former employers, job titles, licenses and certifications (for example, RVT licensure), and references
  • Education information — schools attended, degrees, and training
  • Other information you choose to provide — such as a cover letter, portfolio, salary expectations, or answers to application questions

We do not ask you to provide sensitive personal information (such as Social Security number, government ID, or health information) at the application stage. If you volunteer such information, it will be treated as part of your application file.

 

Why We Collect It

We use applicant information to:

  • Review and evaluate your application and qualifications
  • Communicate with you about your application, interviews, and hiring decisions
  • Verify information you provide, including references and, for some positions, background checks; where a background check is required, we tell you before it is run
  • Comply with legal obligations, including employment and recordkeeping laws
  • Maintain the security and integrity of our systems

 

Who we share it with

We share applicant information with service providers that help us run our hiring process:

  • Applicant tracking software. We use JazzHR to receive, store, and manage applications. When you apply, your information is collected and processed through JazzHR’s platform.
  • Job boards. If you apply through a job board such as Indeed, that platform transmits your application to us and may retain its own copy under its own privacy policy. Information may also be exchanged between our applicant tracking software and the job board where you applied.
  • Other service providers — such as providers of email, document storage, and scheduling tools used in the hiring process.

We do not sell applicant personal information, and we do not share it for cross-context behavioral advertising.

 

How long we keep it

We retain applicant information for as long as needed to consider your application and to meet our legal obligations, generally no longer than four years after the position is filled, unless a longer period is required by law. If you are hired, your application information becomes part of your employment records.

 

Your rights (California applicants)

If you are a California resident, the CCPA gives you rights over your personal information, including the right to know what we collect, the right to request deletion (subject to legal exceptions), the right to correct inaccurate information, and the right not to be discriminated against for exercising these rights.
